Send reports by email

HEFLO allows users to create custom reports and send them automatically by e-mail during the execution of work items.

These reports can be attached to any email template. You can use them with a send message event that has a connector type: email. So every time you use this template and run a work item, HEFLO will send an email with custom reports.

Your recipient will receive the email and the report(s) as pdf attachments.

How to create custom reports?

  1. In the process editor, click on the icon: “visualization mode” and then click on “reports”.
  2. Click the “+” icon above the list to create a new report.
  3. Add a name to your report.
  4. Click on the “open report editor” icon to customize and configure the report.
    • You can add type parameters: string, number, boolean or guid.
    • Drop the parameters on the report page as desired.
    • You can improve the formatting of the report.
    • You have the option to preview your report before sending it.
    • And at the end of customization, click on save button.

You will find the list of reports already created on the page: “Reports”. You can edit and customize them.

How to attach created reports to an email?

  1. In the “visualization mode”, click on “Message templates”.
  2. Choose the desired template or create a new one by clicking the “+” icon.
  3. Click the “attachments” button at the bottom of the dialog box.
  4. Scroll down, and in the templates section, click the “+” button.
  5. Click on the “report” button.
  6. Choose the name that will be given to this attachment.
  7. Select the desired report.

HEFLO will then display the various report parameters. You have the ability to map the fields of your forms as well as the properties of a work item. The goal is to fill the report parameters with information relevant to a work item.

When running a work item, the values ​​filled in it will be automatically displayed in the report parameters and will appear in the PDF document which will be attached to the email.

Warning: You can only choose reports that have been edited in the report editor. If you simply created a report without customizing it, it will then be visible in the list of reports but you will not be able to select it.

How to add a personalized attachment in PDF format?

  1. In the process editor, click on the “visualization mode”, then on “Message templates”.
  2. Choose the desired template or create a new one by clicking the “+” icon.
  3. Click the “attachments” button at the bottom of the dialog box.
  4. Scroll down, and in the templates section, click the “+” button.
  5. Click on the “HTML” button.
  6. Add text and other elements to personalize your document. You have the option to add dynamic content. You can add work item properties or form fields by putting: “:”.
    A list with all of your form fields and work item properties will appear. You can then choose the desired information. The objective is to fill this content with the information provided or corresponding to the work item.
  7. Click on “confirm” to validate this document.
