Monitorize pending envelopes

You can track the status of envelope signatures using two widgets: the “Recent Items” and “Metter” widgets.

  1. Recent Items widget

The recent items widget will display the last modified envelopes of production work items. To configure this widget:

  1. Create or open the page where you want to add this widget and follow the steps to create widgets. To learn more about widgets: Tutorial: How to create a management dashboard.
  2. In the list of widgets, choose “Recent Items”.
  3. Click the pencil icon to configure the widget.
  4. In the “Query” field, choose “Recently changed signatures”.
  5. You can restrict the processes involved by choosing one or more processes in the “Process” field. If you leave the field empty, the widget will then display the most recent changes to the envelopes for all processes in your environment.
  6. In the “Responsibility” field, choose which data will be displayed for each logged in user.
  7. The “Maximum number of items” field is where you set the number of created or sent envelopes displayed in the widget.

For example, if you put “10”, this widget will then display the 10 most recently modified envelopes, in addition to the other selected options.

  1. Enabling the “Include recipients” option displays who “declined” or “signed” (completed) the documents.
  2. You can put a title for this widget in the “Appearance” tab.
  3. Click on confirm to validate the creation of the widget.

This displays the envelopes with their status according to the defined configuration. Envelopes are displayed from most to least recently modified. The envelope statuses are: “Pending”, “voided”, “declined” and “completed”.

  1. Metter widget

The meter widget will count all opened envelopes of production work items. To configure this widget with this information:

  1. Create or open the page where you want to add this widget and follow the steps to create widgets. To learn more about widgets: Tutorial: How to create a management dashboard.
  2. In the list of widgets, choose “Meter”.
  3. Click the pencil icon to configure the widget.
  4. Click “New” to add a line to the meter.
  5. In the “Edit Meter” window, select “Pending document signature” in the “Query” field.
  6. You can restrict the processes involved by choosing one or more processes in the “Process” field. If you leave the field empty, the meter will then display the count of all open envelopes for all processes in your environment.
  7. In the “Responsibility” field, choose which data will be displayed for each logged in user.
  8. You can restrict the relevant work items based on their deadline by choosing an option in the “Deadline” field.
  9. Put the meter line name in the “Label” field.
  10. Click on confirm to validate the creation of this meter line.
  11. Repeat these steps from point 4 to add the different meter lines.
  12. You can put a title for this widget in the “Appearance” tab.
  13. Click on confirm to validate the creation of the widget.

When you click on the number displayed by the meter, a list of open envelopes will be displayed with a descending sort.

The list will display information about open envelopes, including the envelope name, start date, task name and the instance number that created the envelope.

There is also information about the recipient(s):

  • Their role
  • Their name
  • Their email address
  • The status of the envelope for each recipient. The envelope statuses in this case are: Pending, and sent. If the envelope has been voided or declined, it will no longer be counted in the meter and will be automatically deleted from this list.

Please note that the meter only displays open work item envelopes.
