Manage Custom Records from a “Record” Field

HEFLO now allows you to add, edit, or delete a record entry directly from a “Record” field linked to it. This feature is available in:

πŸ’‘ How to Use This Feature in a Process or Linked Record

To allow users to manage records within a process form or directly through a linked record form, follow these steps:

1️⃣ Add a “Record” field linked to the desired record.

2️⃣ Enable the necessary options by selecting from:Β 

βœ… Allow Create
βœ… Allow Edit
βœ… Allow Remove

πŸ’‘ Note: To use the record deletion function (“Allow Remove”), you must also enable “Allow Edit”, since the delete button is only available on the record editing screen.

Once these options are set, users with access to the form will be able to perform these actions directly in the field, without needing to open the record separately.

πŸ’‘ How to Restrict Access to This Feature in Custom Records Based on User Roles

You can limit access to this feature for specific users based on their roles.

πŸ’‘ Note: Enabling these options in a user role only affects the page containing custom records. It does not impact the creation, editing, and deletion permissions defined in process forms.

Permission Configuration

1️⃣ Go to Users and Authorization β†’ “Roles” Tab.

2️⃣ Select an existing role or create a new role.

3️⃣ Click “Configure Pages” under the “Workspace Authorization” section.

4️⃣ Enable the necessary options for each page:

βœ… Create Records
βœ… Edit Records
βœ… Delete Records

πŸ’‘ Note: To use the record deletion function (“Delete Records”), you must also enable “Edit Records”, since the delete button is only available on the record editing screen.

This way, users with this role will be able to manage records without directly accessing them, both when creating and editing a record.

πŸ’‘ Note: By default, the “View and Edit” option grants access to all these actions. If you want to restrict certain permissions, you must configure them individually.
