HEFLO allows you to control the visibility of comments in work items visible in “My Requests” in the portal.
The control can only be performed on comments created in a work item that has been opened from the workspace. This control cannot be performed on sent emails.
How to make a comment visible or not?
- Go to the tasks list in your workspace.
- Choose the desired work item.
- Go to the “Conversation” tab.
- Write your comment and send it.
- There are then two cases:
- The portal icon at the top left of the comment is not crossed out: this means that the comment or email is visible on the portal. In this case, the icon always appears at the top left of the comment or email.
- The portal icon at the top left of the comment is crossed out: this means that the comment or email is not visible on the portal. In this case the icon only appears when you hover the mouse over the comment or email.
- Click this icon to change the visibility of the comment on the portal.
What are the default visibility rules?
When a user adds a comment or email in the work item:
- Via the portal, by default, the comment or email is then visible on the portal.
- Via the tasks list in the workspace, by default, the comment or the email is then not visible on the portal, except:
- If the user mentions the requester (work item creator) in the comment. In this case, the comment is visible in the portal by default.
- If the user sends an email to the requester through the “Conversation” tab. In this case, this email is visible on the portal, without the possibility of change. In addition, if the requester replies to this email via his mailbox (outlook, gmail etc.), the reply email will also be visible on the portal, without the possibility of changing either.
